Built in a working kitchen in the North East

One list in. Every supplier gets their own order.

Restockd is for small businesses that buy the same things from several suppliers every week. Somebody walks round and puts in what is needed. Restockd splits that one list by supplier and emails each supplier their own lines, with the delivery date and any notes already on it.

MADE FOR SMALL BUSINESSES THAT ORDER FROM SEVERAL SUPPLIERS

Restaurants, cafés & bars
Farm shops, delis & bakeries
Care homes & nurseries
Salons & barbers
Garages, workshops & trades

Three suppliers or more, roughly the same order every week, and one person who knows how it all works. That is who this is for.

The job nobody wants

Ordering works fine until the person who does it is off.

Most small businesses run it the same way, and it is nobody’s fault. It grew one supplier at a time.

01

It lives in one person’s head

A count on the back of a docket, a couple of WhatsApp threads and a phone call at six in the morning. None of it written down anywhere somebody else could pick up.

02

Every supplier wants it a different way

One takes email. One wants a text. One wants you logged into their website. One order turns into five separate jobs, each with its own way of going wrong.

03

What gets missed turns up at the worst time

You find out you are short at half seven on a Friday, with a full book and nothing arriving until Monday.

04

Nobody else can pick it up

Holiday, illness or a leaving date, and the ordering goes with them. Then you are working out who supplies the oil.

THE REAL COST

The software is not the expensive part. One missed line costs you a line off the menu or a gap on the shelf, a run to the cash and carry and an hour of somebody’s wage. Once a week adds up to a number you would not sign off if anybody asked you to.

The fix

You write one list. Restockd does the splitting.

Everything you buy is already tagged to the supplier who sells it. When the list is done, Restockd knows who each line belongs to and shows you the order broken up supplier by supplier before anything leaves the building. Email suppliers get a normal order email with only their own lines on it. No account, no app, no login.

How it works

Set it up once. After that it is a walk round and a send.

Setup is a 20-minute call to work out what you buy and who from, then about an hour together to set it up.

1

Load your suppliers and products

By hand or from one spreadsheet. Every product is tagged to a supplier and to a section, so it knows who sells it and where it lives.

2

Walk round and put the numbers in

Open it on a phone or a tablet, filter to the walk-in, the dry store or the bar and enter what you need. It is built for one hand and a cold room.

3

Check the split

The order comes back grouped by supplier. Set the delivery date, add notes for the driver and send it for approval if that is how you want to run it.

4

Send

Each email supplier gets their own order with only their lines on it. Suppliers who take orders on their own website come back to you as a list to place yourself. The whole lot is saved to history.

What you get

The ordering job and the things that go wrong around it

Every supplier gets their own order

One list in, one clean order out per supplier. Nobody sees anybody else’s lines and nobody has to be told twice.

Sections and colour filters

Group products by where they are kept. Filter to one area and count that area, without scrolling past the whole catalogue.

Delivery days and cut-offs

Restockd holds each supplier’s delivery days, cut-off times, notice periods and minimum order, and warns you before you break one.

ASAP, worked out

Leave the date off and it works out each supplier’s earliest delivery on its own. Split one product across two days when you need to.

History, reorder and cancel

Every order is kept. Pull last Tuesday’s back up and send it again. Cancel a whole order, or one supplier off it.

Templates and standing orders

Save a regular order as a template. Weekly, fortnightly or monthly schedules build you a draft to check. It never sends by itself.

Spreadsheet in, spreadsheet out

Build the whole catalogue from one spreadsheet. Take your orders back out the same way, or save any order as a PDF.

Your name on it, not ours

Your logo and your colours, on every plan. To your team it looks like your system, because it is.

Who can do what

Somebody else can do the ordering without being able to spend your money.

Staff get their own sign-in and only see the parts of it you give them. Turn approval on and they can build the whole order, but it sits there until somebody with the authority releases it.

On Managed, staff on a shared tablet sign in with their own PIN and it locks itself between people. Every order records who built it and who sent it.

Who it is for

It started in a kitchen. The problem is not only in kitchens.

Restockd was built for a busy pizzeria with fourteen suppliers and one person who knew them all. The same shape turns up anywhere the buying list is roughly the same every week and it comes from more than a couple of places.

Restaurants, cafés, bars & pizzerias

Sections that match the walk-in, the dry store and the bar. Delivery days, cut-offs and a Friday you cannot afford to get wrong. This is where it started.

Farm shops, delis, bakeries & convenience

The same suppliers and the same weekly order, without a kitchen. Counts done on the shop floor, early cut-offs and a lot of small accounts to keep straight.

Care homes & nurseries

Food, cleaning, PPE and consumables across several accounts. Staff raise the order, somebody with the authority releases it, and there is a record of who did what.

Salons & barbers

A short product list reordered constantly from three or four trade suppliers, with account numbers only one person knows. Put them somewhere everybody can reach.

Garages, workshops & trades

Motor factors and builders merchants, half of it ordered over the phone. Parts lists instead of stock lists, and the same trouble when the one who orders is out.

Not for you if you want inventory valuation, recipe costing and gross profit down to the gram. Restockd handles the ordering. It does not count what is left on the shelf.

Get Managed

Ordering on a supplier website is included on Connected and Managed. It runs through the Restockd browser extension on a desktop, in Chrome or Edge, and we set it up with you on your call.

Asked on nearly every call

The questions everyone asks

Do my suppliers need to sign up for anything?

No. Email suppliers get a normal order email with only their own lines on it. No account, no app, no login. On Managed the email also carries a secure link they can use to accept the order or tick off what they cannot send.

What about suppliers who take orders on their own website?

Restockd builds their list and emails it to you and to whoever you allow to place orders, then holds the order open until somebody marks it placed. You put it on their site yourself.

On Connected and Managed, the browser extension fills the basket on their website for you. You review it and check out.

Can my staff use it without giving them admin access?

Yes. Each person gets their own sign-in and only sees what you give them. On Managed, staff on a shared tablet use their own PIN and the tablet locks itself between them.

Can I stop an order going out without me seeing it?

Turn approval on. Staff build the order and it waits. Only somebody with approval permission can release it, and the order records who did.

Can I import my existing product list?

Yes, from one spreadsheet. Suppliers, sections and products in one go. We do the first one with you on the setup call, and you can export and re-import whenever you like.

Is this a full inventory system?

No. It handles the ordering. It does not value your stock or cost your recipes. Plenty of people run it alongside something that does.

What do we need to run it?

A phone, tablet or computer with a browser. Nothing to install. There is an Android tablet app if you want a fixed device in the kitchen or the stockroom.

Where does my data live and can other businesses see it?

Your account has its own database on UK hosting. No other business on the platform can read it.

Can I put my own branding on it?

Yes, on every plan. Your logo and your colours, so your team sees your system rather than ours.

What happens if I want to leave?

Export your suppliers, products and full order history as spreadsheets, then tell us to close the account and return any hardware. No exit fee.
